Don't forget the midpoint internal review! Help is available

AOA has required that programs inspected after July 1, 2006, complete an internal review at the mid-point of when they were last inspected to the projected date of the next inspection.  We provide documents for assisting with the internal review at www.ohiocore.org/cf/fac-dev/prog-directors.htm and also at the AOA’s website www.doonline.org/index.cfm?PageID=acc_postdocstds

Seven tips to help accomplish a successful site inspection

If site inspections are a time for anxiety, avoid the stress by starting ahead of time. The easy part is the workbook but the documentation required to substantiate the workbook is massive. Here are some tips to make documentation easier to gather and navigate:

  • Gather all minutes from the GME meetings, the Medical Staff meetings, and the Board that are required and keep them in a separate file.

  • Pull resident files and organize! Make sure they are all in the same order. Dividers are very helpful. 

  • Be sure annual and quarterly reviews are filed. Logs need to be up to date. Get help from residents and faculty in regards to medical records. Make sure an adequate sample size is pulled for each resident and somewhere in the chart there is documentation of OMT!

  • Make the life of the site inspector easier by using Post-it Note Flags on issues regarding medical education activities, such as site inspections, approval of stipends and benefits, and Statement of Commitments to Medical Education.

If you start early and keep the information up-to-date, you will be ready for inspection. Bradley Hobbs, M.A., GME coordinator at Grandview Medical Center, presented additional tips at the last Grandview GME committee to ensure the Dayton hospital’s residency programs were ready for inspections. Hobbs recommendations included:

  • Make sure to have current CV’s of the program director and faculty.

  • Review your affiliation agreements and organize by expiration date. 

  • Keep a current program manual with a list of residents, curriculum outline, and evaluation measures.
